Walk-In

A walk-in is a guest who arrives without a reservation. Walk-ins fill the gaps in the book and, at bars and neighborhood rooms, can be most of the business. They also arrive with no record attached, so unless someone captures a name, a number, or a card, the visit closes with no guest to attribute it to.

Walk-ins are the guests a restaurant serves and then forgets, and not through any failure of attention. The anonymity is built into how the systems are arranged. At a bar, a counter, or a neighborhood room where most covers arrive unannounced, that structural gap is not an edge case. It is where most of the guest data goes.

Why are walk-ins anonymous by default?

Because nothing in the chain of systems is holding a name. A reservation exists before the guest arrives and carries an identity into the night; a walk-in has no such record, so there is nothing for the visit to attach to. The point of sale opens a check on a table at a time and closes it with a total. Table 14, four covers, $286, cash out at 9:40. Every field in that record is accurate and none of them describe a person.

The only place a name can enter is at the door or the table, from a human deciding to ask, at the busiest moment of the shift. That is why walk-in capture is an operational habit before it is a software feature.

Can my point of sale identify a walk-in?

Rarely, and only through a side door. A walk-in who sits down and pays by card leaves no name behind, because a dine-in check carries no guest record. The exception is a walk-in who orders through an account, such as an online pickup order or a loyalty check-in, since Toast and Square can pass guest contact detail on those. Otherwise the check arrives with no identity on it, which leaves table and time as the only handles. Those two fields identify a party only when there is a booking to match them against, so at those venues the walk-in stays anonymous no matter how good the integration is.

Payment signals close part of the gap without a name. The same card appearing on two checks links the visits to each other, which builds a history for a guest the restaurant still cannot address. Useful, and not the same thing as knowing who they are.

What does a restaurant lose by not recognizing walk-ins?

Its most loyal guests, statistically speaking. A neighborhood regular who comes in twice a week and never books is invisible to every guest metric a platform reports. Repeat rate, visit frequency, and lifetime value are all computed over guests the system can identify, so a walk-in-heavy room reads back as having fewer regulars and lower guest value than it actually has, with nothing in the dashboard flagging the omission.

Marketing inherits the same hole. A restaurant cannot invite, thank, or win back a guest it has no record of, so campaign reach is capped at the booked share of the room. The cheapest way out is the waitlist, since the name and number are already being collected there on busy nights. After that comes matching on payment signals, and then asking at the table, which works and costs the most in service time.
